The Asilomar Exhibits Application Form follows. If you are looking for the list of those currently scheduled to exhibit at the conference, see the Asilomar Vendors page.

If you are exhibiting, here is additional information.  There is a general cover letter followed by 2 sets of additional information, one for Middle School Exhibitors and one for those at Merrill Hall. Times and fees differ at the two sites.

2008 Asilomar Conference

GREETINGS! It's time to plan Asilomar again. You are invited to apply to display your mathematics and mathematics education related materials at the 51st Annual Conference,  starting  Friday morning or afternoon through all day Saturday, December 5 & 6, 2008 (start time depends upon location).

GENERAL INFORMATION: Asilomar generally has 2400 to 3000 participants. Exhibits are in two locations. The most equitable split is:
  • on the Asilomar grounds, at Merrill Hall, materials for display only (such as textbooks for consideration of later adoption). NO SALES ALLOWED. NOTE THIS CHANGE from previous years: Merrill Hall will open Firday morning.
  • at the Pacific Grove Middle School (PGMS), materials for sale. The PGMS gym will open Friday afternoon, as usual.
A packet with additional information will be mailed to all vendors who return an application form. This packet contains answers to the most frequently asked questions, such as setup times and delivery of materials to Asilomar. This web site also has information on the CMC-South conference (Palm Springs, November 7 & 8, 2008) and the CMC-Central conference (Seaside/Monterey, March 13-14, 2009).

APPLICATION PROCESS: Each year we have more vendor applicants than we can accommodate. Spaces are reserved for those who exhibited last year IF the application and payment are received by JULY 31. After that date spaces are assigned to new exhibitors from the waiting list. New vendors are encouraged to apply. Available spaces are assigned in the order received. The deadline for all applications is September 15. Your application and payment is to be sent to Rick Easterday, Exhibits Chair.

MAXIMUM SPACES: As usual, we anticipate more requests for tables than space allows. Therefore you may request a maximum of four tables at PGMS and three at Merrill. If additional space is desired, please so indicate on the chance that we may be able to accommodate you.

COST: The exhibit fee remains $325 per table for PGMS. Due to the increased time and set-up fees at Merrill Hall, the fee there is $500 per table. There is an added $50 fee for each exhibitor who needs electricity. This fee includes registration for two of your exhibitors to attend sessions. Indicate their names on the enclosed registration form and return it ASAP. For those few whose business requires tables at both locations, there is a reduction of $100 per table at the second site—the one with the fewer number of tables. For example, two tables at PGMS and one at Merrill would cost $1050. Two Merril and one PGMS would cost $1225.

Confirmation letters are sent in October with details on your location, parking, lunch, loading/unloading, etc. Starting in June we will list all vendors whose applications have been accepted. TO:    Exhibitors at Merrill Hall

Merrill Hall will be open for exhibits Friday from 11 a.m. as well as Saturday, with setup from 9 to 11 Friday a.m. The hall will not be available earlier to allow time for the decorator to set the display areas. The basic fee per table is $500. 

If you use Tricord Tradeshow Services to handle your materials, your items will unloaded by 9:00 a.m.
If you handle your own materials, they must be unloaded between 9 and 11:00 a.m.
All exhibitors may set up their display between 9 and 11:00 a.m.
No vehicles permitted at Merrill Hall after 11:00pm.

The basic fee at PGMS is $325 per table. If it is raining or threat of rain, the students will need the use of the gym.  Therefore, the set up time will be delayed.  The exhibit service company must have the gym all to themselves during their set up period, an hour before your vendor set-up time as given above.  Please be patient; we know you have a ton of products to set up and will get you in as soon as possible.  Remember, do not park in front of the gym, it is a bus loading zone.

It is not possible to ship directly to the school.  If you need help with shipping, storing, setting up, decoration, etc., contact Tricord Tradeshow Services

Hospitality:  CMC-N provides coffee, treats, and Saturday box lunch.  Coffee pots are kept warm in the Middle School Staff Room

Security: CMC-N hires a security guard to watch the Middle School Exhibit Hall Friday night.

Clean Up: An extra-large green dumpster is rented for the extra garbage that accumulates .  Each exhibitor is responsible for hauling his/her own refuse to the dumpster.
