Dear Exhibitor:
The 49th Annual Fall Mathematics Conference sponsored by the
California Mathematics Council-South is scheduled on November 7-8,
2008, at the Palm Springs Convention Center. We have planned an
interesting and varied program for mathematics educators at all levels,
Kindergarten through college. We are anticipating a registration of
approximately 4500 mathematics teachers, consultants, and
administrators.
Commercial exhibits will be located in the Palm
Springs Convention Center. Commercial displays of educational materials
are an integral part of our conference. Classroom teachers and other
educators always appreciate the opportunity to view the latest products
and speak with company representatives. Therefore, we would like to
encourage your company to exhibit mathematics instructional materials,
including textbooks, kits, programs, computer software, and literature
which are appropriate for students and teachers.
The cost for
commercial exhibit space at this meeting is $500
per 10' by 10' draped booth. This price includes 3' high side rails, 8'
high back wall, draping, carpeting and exhibitor's sign. It does not
include tables, chairs, freight handling/drayage charges;
Sheppard Convention Services (SDC), 323-888-9855, will contact you
before the conference. Yes, there is a charge for freight handling as
SDC will work
with you in getting your materials inside the exhibit area.

Your
company's name will be listed in the conference program booklet, if the
application is received prior to June 1. Informational conference
packets, including program booklets, will be mailed to you in September.

Exhibition Hours
In an effort to provide the best possible opportunity for attendees to
view exhibitors’ products, exhibition hours will be strictly enforced
to prevent the following:
a) short-changing attendees from visitation opportunities;
b) creating unfair expectations to those exhibitors who do follow the rules;
c) contributing to a domino-effect where other exhibitors would also close prior to established hours;
d) creating an unprofessional atmosphere with empty booths interspersed throughout the hall;
e) creating a safety and security hazard with
exhibitors moving their boxes and materials among attendees in the
exhibition hall.
While we appreciate your participation as an exhibitor, your
contribution to the success of the conference will be greatly increased if you abide with posted exhibition hours.
Please plan your schedules accordingly.

Materials/ Drayage
An exhibitor may transport, across the exhibit floor, any amount that
can be hand carried in ONE TRIP. Exhibitors MAY NOT USE their own
hand trucks, pallet jacks, wagons nor any other wheeled device to
transport their own exhibit materials across the exhibit floor.
Representatives of the drayage union will be on the floor during
move-in and will be checking to see that all exhibitors comply with
these rules. The rules are uniform for all exhibit facilities in
Northern and Southern California. Your cooperation in complying
with these guidelines created by the Convention Services Division of
the Local Union is appreciated.
The teamsters are responsible for the loading/unloading of all trucks
or trailers of common/contract carriers, as well as the handling of
empty crates and the operations of fork lift trucks. They also
have jurisdiction of the loading/unloading of individual company
vehicles.
