Dear Exhibitor: 

The 51st Annual Fall Mathematics Conference sponsored by the California Mathematics Council, South, is scheduled for November 5-6, 2010, at the Palm Springs Convention Center. We have planned an interesting and varied program for mathematics educators at all levels, kindergarten through college. Due to budget concerns, we are anticipating a registration of approximately 2,000 mathematics teachers, consultants, and administrators. Last year we had a little over 2,300 registered attendees.

Commercial exhibits and displays, which are an integral part of the conference, will be located in the Palm Springs Convention Center. Classroom teachers and other educators always appreciate the opportunity to view the latest products and speak with company representatives. Therefore, we would like to encourage your company to exhibit mathematics instructional materials, including textbooks, kits, programs, computer software, and literature which are appropriate for students and teachers.

The cost for commercial exhibit space at this meeting is $500 per 10' by 10' draped booth. This price includes 3' high side rails, 8' high back wall, draping, carpeting and exhibitor's sign. It does not include tables, chairs, freight handling/drayage charges. The decorator will be Global Experience Specialists (GES). GES will work with you in getting your materials inside the exhibit area. They will contact you with more information prior to the conference. Please see the Exhibitor Guidelines for information regarding how your materials may be brought into the exhibit area.

Your company's name will be listed in the conference program booklet, if the application is received prior to June 30. Your company’s name and URL will be posted on our conference Web site. Informational conference packets, including additional program information, will be mailed to you in September. Lead retrieval address lists will be available for $250. CANCELLATION: By email from the applicant. Full refund if sent by September 30. NO REFUNDS after that date.

To propose a conference presenter, please complete the online speaker application. Speakers will be selected by our program committee; sponsorship is not a guarantee of acceptance. Speakers are selected on the topic presented, grade level addressed and possible prior speaking experience.

      Exhibitor Guidlines

Exhibit Space Size and Fees

Booths are 10’ x 10’. The $500 booth fee includes: pipe and drape; a one-line ID sign; and 4 badges/booth (badges only for exhibit hall, not sessions). The Palm Springs Convention Center is FULLY carpeted.

Booth space is assigned by:

1.    The number of paid booths reserved on a first-come, first served basis

2.    The date of the application and payment.

No booth space will be held without full payment.

Special requests (such as location or corners) will be noted, but cannot be guaranteed.

 

Exhibition Hours

In an effort to provide the best possible opportunity for attendees to view exhibitors’ products, exhibition hours will be strictly enforced to prevent the following:

a) short-changing attendees from visitation opportunities;

b) creating unfair expectations to those exhibitors who do follow the rules;

c) contributing to a domino-effect where other exhibitors would also follow the practice of closing prior to established hours;

d) creating an unprofessional atmosphere with empty booths interspersed throughout the hall;

e) creating a safety and security hazard wherein exhibitors are moving their boxes, etc. amongst attendees in the exhibition hall.

 

We appreciate your participation as an exhibitor; your contribution to the success of the conference is greatly enhanced when you abide with posted exhibition hours.

Please plan your schedules accordingly. We will impose a penalty of $250 for tearing down early and you will not be allowed to exhibit at future CMC-S conferences until this fee is paid.

 

Materials/ Drayage

An exhibitor may transport, across the exhibit floor, any amount that can be hand carried in ONE TRIP.  Exhibitors MAY NOT USE their own hand trucks, pallet jacks, wagons or any other wheeled device to transport their own exhibit materials across the exhibit floor. Representatives of the drayage union will be on the floor during move-in and will be checking to see that all exhibitors comply with these rules. The rules are uniform for all exhibit facilities in Northern and Southern California. Your cooperation in complying with these guidelines created by the Convention Services Division of the Local Union is appreciated.

 

The Teamsters are responsible for the loading/unloading of all trucks or trailers of common/contract carriers, as well as the handling of empty crates and the operations of fork lift trucks. They also have jurisdiction of the loading/unloading of individual company vehicles
